Five Steps to a Successful Exhibit Booth

Step 1: Schedule a One-on-One Consultation with AOCS Staff

Schedule your complimentary one-on-one consultation with the AOCS Brand and Digital Strategy team to maximize your organization’s participation in the AOCS Annual Meeting & Expo. Contact Ellen Snipes, Director, Meetings and Exhibits at ellen.snipes@aocs.org to reserve a spot!

Step 2: Send AOCS Your Logo

Send your company logo to Ellen Snipes at ellen.snipes@aocs.org. To ensure the highest quality reproduction of your company logo, please follow these guidelines:

  • Vector file formats are preferred, including .ai, .eps, .svg or .pdf.
  • High resolution (300 dpi) .tif, .jpg or .psd files are also acceptable.
  • Convert all fonts to outlines.
  • Include any branding guidelines your company may have.

Step 3: Set Up Your Booth

Registered attendees will have access to the online meeting platform beginning April 15. Make sure your booth is set up and ready to go before the attendees arrive!

The annual meeting is a prime opportunity for you to maintain existing relationships and build new connections. Register for the full meeting and plan to participate in the live question and answer portions of the oral sessions that match your company's interest area. What are the dates and times of the meeting?

The official dates of the 2021 AOCS Annual Meeting & Expo are May 3–14, 2021. Live sessions will run 12–15 hours each day beginning at 7 a.m. CDT (Chicago USA; UTC-5). However, the online meeting platform — including all exhibit booths — opens to all registered attendees on April 15. Uninterrupted, 24/7 access continues until June 30, 2021 (non-members) and April 2022 (AOCS members).

Do we need to have staff present at any set time(s)?

No, the annual meeting does not have designated expo hours. The online meeting platform — including all exhibit booths — opens to all registered attendees on April 15. Uninterrupted, 24/7 access continues until June 30, 2021 (non-members) and April 2022 (AOCS members). We recommend you complete the staff profiles within your virtual booth so attendees can access your contact information and send you inquiries directly.

How long do attendees have access to exhibitors?

The online meeting platform — including all exhibit booths — opens to all registered attendees on April 15. Uninterrupted, 24/7 access continues until June 30, 2021 (non-members) and April 2022 (AOCS members).

Is the attendee list for sale?

No. AOCS does not sell its meeting registration list or authorizes any third party to distribute or sell meeting attendee lists or lists related to any AOCS event.

It has come to our attention that companies are contacting some AOCS members and meeting attendees to offer them the ability to purchase a list they claim is the 2021 AOCS Annual Meeting & Expo attendee list. If you are contacted by a company claiming to have access to an AOCS attendee list, please mark the incoming message as spam and do not respond.

When will I receive an attendee list?

Innovator and Leader partners will receive an email containing the Annual Meeting attendee list (in electronic format) two times — April 20, 2021 for pre-meeting marketing and May 17, 2021 for post-meeting marketing.

Supporter partners will only receive the attendee list (in electronic format) for post-meeting marketing on May 17, 2021. The email list(s) will be sent to you by ellen.snipes@aocs.org.

How do I register staff?

Yes. All exhibitors are able to access the Exhibitor and Sponsor Management System (to set up your virtual booth) but this is not the same thing as accessing the online meeting platform. In order to attend live oral presentations, view poster presentations, participate in Q&A, and participate in any of the planned networking activities, you will need to register and pay for attendee access to the online meeting platform.

Registration rates start at US $149 for AOCS members and US $199 for non-members. Registration is now open.

If you have partnered with AOCS at the Innovator, Leader, or Supporter level, your sponsorship comes with complimentary full meeting registrations(s). Instructions for registering online using the promo code will be provided to you by ellen.snipes@aocs.org.
